Overview
Thurber has an exciting opportunity for an early career or entry level Administrative Assistant to join our team in Edmonton, Alberta. This position is a full-time salaried role working from our Edmonton office location.
Thurber provides geotechnical, environmental and construction materials engineering and testing services for a variety of industries across Canada. Our multidisciplinary expertise allows us to work on problems related to earth, the environment and construction materials. We solve problems in a wide variety of industries including transportation, building construction, municipal infrastructure, land development, dams and water resources, industrial development, mining, oil and gas, marine and environmental services.
As our Administrative Assistant, you will be trained in and work on a variety of office and project administrative tasks to develop your skills with guidance and mentorship from our team.
Responsibilities
The Administrative Assistant role is responsible for, but not limited to, the following:
- Assisting in the preparation of regularly scheduled reports;
- Maintaining a filing system;
- Ordering office supplies and researching new deals and suppliers;
- Maintaining current contact information for customers/clients in the accounting system;
- Performing data entry at month end in preparation for issuing prebills to project management personnel;
- Reviewing and reconciling company credit card statements for each expense account;
- Answering and directing phone calls;
- Organizing and scheduling appointments;
- Planning meetings and taking detailed minutes;
- Assisting with the preparation of proposal and report documents;
- Uploading and downloading documents to/from project document control sites;
- Booking travel arrangements;
- Providing general support to visitors;
- Acting as the point of contact for internal and external clients; and,
- Liaising with other administrative assistants to handle requests and queries.
Qualifications and Assets
- High School diploma;
- Prior Administrative Assistant training or education is an asset;
- Zero to five years of experience as an administrative assistant;
- Intermediate or better typing skills (approximately 40 words per minute or better);
- Proficiency in Microsoft Office programs (MS Excel, MS Word and MS PowerPoint);
- Excellent time management skills and the ability to prioritize work;
- Attention to detail and problem-solving skills; and,
- Excellent written and verbal communication skills.
